Add Booking Questions
Booking questions collect information that helps you prepare for a meeting. Every booking link already asks for the guest’s name and email; Pro accounts can enable additional questions for that link.
Before You Begin
Custom questions require Pro. Decide what information you will genuinely use before adding fields. Shorter forms are easier for guests to complete.
Do not ask guests to submit passwords, payment-card details, authentication codes, or other secrets.
Open the Booking Form
- Open Links.
- Select the booking link you want to edit.
- Select Booking Form.
- Turn on Custom Questions.
- Click Manage questions.
When Custom Questions is off, the public form shows only the required name and email questions.
Add a Question
- Open Manage questions.
- Add a new question.
- Choose the answer type.
- Enter a short, direct label.
- Add a useful placeholder when needed.
- Decide whether the question is required.
- Save the question and then save the booking link.
Available custom answer types include:
- Email for one email address.
- Phone Number for a telephone number.
- Number for numeric answers.
- Short Text for one-line responses.
- Long Text for longer explanations.
Name and email are core questions and remain enabled and required.
Choose Required or Optional
Make a question required only when the meeting cannot proceed without the answer. Required questions prevent the guest from continuing until the field is completed.
Good required questions are usually short and operational, such as a contact number for a phone call. Contextual questions such as “What would you like to discuss?” can often remain optional.
Useful Question Examples
Questions can collect:
- The guest’s goal for the meeting.
- A company or project name.
- A website or reference URL as short text.
- A preferred contact number.
- Background that helps the host prepare.
- Notes or accessibility requirements the guest chooses to share.
Avoid duplicating information already shown by the booking link or collected through name and email.
Reorder, Edit, or Remove Questions
Use Manage questions to change labels, required status, or ordering. Remove questions you no longer use.
Changes apply to future form submissions. Existing bookings keep the answers that were submitted when those bookings were created.
Test edited questions from the public booking page before sharing the link. Check that labels fit on mobile, placeholders are understandable, and each required answer accepts the intended format. A concise prompt usually produces more useful responses than a long explanation inside the field label.
What Guests Experience
Custom questions appear in the details step after the guest chooses a valid time. Required fields must pass validation before the booking can be submitted.
Submitted answers are stored with the booking. The host can review them in the booking details and may also see supported answers in a calendar description unless Hide notes in calendar is enabled.
