Booking Details and Guest Responses

A booking record brings the meeting details, guest contact information, location, status, and submitted answers into one place. Use it to prepare for the meeting and keep follow-up tied to the correct booking.

What a booking contains

Depending on the booking type and information submitted, the details view can include:

  • Meeting title, date, start and end time.
  • Booking status.
  • Booking link and creation source.
  • Guest name and email.
  • Meeting location or conference link.
  • Host information.
  • Notes and answers to enabled booking questions.
  • Booking timeline and other metadata available in the product.

The displayed time is formatted for the workspace view. A guest may have seen the same meeting in a different time zone.

Review guest responses

Open the booking from Bookings or from a booking link’s Bookings area. Select the booking to open its details panel. Review the guest identity, Location, Notes, and any other response fields saved with the booking.

Custom questions are controlled by the booking link. When custom questions are off, the guest form shows only the required name and email fields. When custom questions are enabled, the configured questions and required markers determine what the guest must submit.

Answers are stored with the booking that received them. Editing the booking link later does not rewrite responses already submitted.

Missing or empty answers

If an expected response is absent:

  1. Confirm the question was enabled when the booking was submitted.
  2. Check whether the field was optional.
  3. Confirm you opened the intended booking, not another booking for the same guest.
  4. Refresh the booking details view after a recent submission.

A blank answer is different from a booking that failed. Check the booking’s status separately.

Handle guest information carefully

Collect only information needed to schedule or deliver the meeting. Avoid requesting passwords, authentication codes, payment-card details, or unnecessary sensitive information. Limit access to guest responses and avoid copying them into unrelated tools.

For privacy controls such as hiding notes in connected calendar descriptions, review the booking link’s guest-facing settings.
